Adding Domains to FireGlue

This guide will walk you through adding and configuring domains in FireGlue for optimal email deliverability.

Before You Start

Domain Requirements

  • You must own the domain or have administrative access
  • Access to DNS management (A records, MX records, TXT records)
  • Domain should be at least 30 days old for best deliverability
  • Avoid domains with previous spam history
  • Dedicated Domains: Use separate domains for cold email campaigns
  • Warm-up Domains: Keep warm-up and cold email domains separate
  • Brand Domains: Maintain your main brand domain for regular business emails

Adding a New Domain

Step 1: Access Domain Management

  1. Log into your FireGlue Dashboard
  2. Navigate to Domains in the sidebar
  3. Click Add Domain

Step 2: Enter Domain Information

Domain Name: yourdomain.com
Description: Main cold email domain
Primary Use: Cold Email Campaigns

Step 3: DNS Verification

FireGlue will provide specific DNS verification instructions in your dashboard. Follow the verification process shown in your account to add the required TXT record.

DNS Propagation: Changes can take up to 48 hours to propagate globally.

Step 4: Verify Domain

  1. Click Verify Domain in the FireGlue dashboard
  2. If verification fails, wait 15-30 minutes and try again
  3. Once verified, you'll see a green checkmark

DNS Configuration

SPF, DKIM, and DMARC Records

Important: DNS configuration is specific to your email provider (Microsoft 365, Google Workspace, etc.) and will be provided in your FireGlue dashboard once you connect your provider.

The exact DNS records you need depend on:

  • Your chosen email provider
  • Your sending infrastructure
  • Your domain configuration

General DNS Best Practices

  1. SPF Records: Authorize your email servers to send on behalf of your domain
  2. DKIM Records: Add cryptographic signatures to your emails
  3. DMARC Policy: Set your email authentication policy

Refer to your specific email provider's documentation for exact DNS values, or check your FireGlue dashboard after connecting your provider.

Domain Status Indicators

✅ Verified

  • Domain is properly configured
  • All DNS records are correct
  • Ready for email campaigns

⚠️ Verification Pending

  • DNS changes are propagating
  • Wait 15-30 minutes and re-verify

❌ Verification Failed

  • Check DNS record configuration
  • Ensure proper TTL settings
  • Verify domain ownership

🔴 Health Issues

  • Domain reputation problems detected
  • Review health monitoring dashboard
  • Check bounce and complaint rates

Health Monitoring Setup

Once your domain is verified:

  1. Navigate to Health Monitoring
  2. Review your domain's health score
  3. Set up alerts for critical issues
  4. Monitor reputation trends

Health Score Factors

  • Domain Age: Older domains perform better
  • Sending History: Consistent, compliant sending patterns
  • Bounce Rate: Keep under 5%
  • Complaint Rate: Keep under 0.1%
  • Volume Consistency: Avoid sudden volume spikes

Provider Integration

Microsoft 365 Integration

  1. Go to IntegrationsMicrosoft 365
  2. Connect your tenant
  3. Configure mailbox settings
  4. Set up authentication

Google Workspace Integration

  1. Navigate to IntegrationsGoogle Workspace
  2. Set up OAuth credentials
  3. Connect your domain
  4. Configure API access

Custom SMTP

  1. Go to IntegrationsSMTP
  2. Enter your SMTP server details
  3. Configure authentication
  4. Test connection

Domain Management

Editing Domain Settings

  • Click on your domain in the domains list
  • Modify description, settings, or configuration
  • Save changes

Domain Analytics

  • View sending statistics
  • Monitor deliverability metrics
  • Track performance over time

Removing Domains

⚠️ Warning: Removing a domain will stop all associated campaigns.

  1. Ensure no active campaigns are using the domain
  2. Click Remove Domain
  3. Confirm the action

Best Practices

Domain Selection

  • Use .com domains when possible
  • Avoid numbers and hyphens in domain names
  • Keep domain names professional and brandable

DNS Management

  • Set appropriate TTL values (300-3600 seconds)
  • Use dedicated DNS providers for better control
  • Monitor DNS propagation with tools like dig or online checkers

Sending Patterns

  • Start with low volumes (50-100 emails/day)
  • Gradually increase sending limits
  • Maintain consistent sending patterns
  • Avoid sending during weekends/holidays

Reputation Management

  • Monitor health scores regularly
  • Address bounce and complaint issues quickly
  • Maintain list hygiene
  • Use double opt-in when possible

Troubleshooting

DNS Verification Issues

Problem: Domain verification fails Solutions:

  • Check DNS record syntax
  • Verify TTL settings
  • Wait for DNS propagation
  • Use DNS checker tools

Problem: SPF record too long Solutions:

  • Use include statements
  • Remove duplicate entries
  • Consider using SPF flattening tools

Health Score Problems

Problem: Low health score Solutions:

  • Review bounce and complaint rates
  • Check domain age and history
  • Monitor sending patterns
  • Improve list quality

Problem: Reputation issues Solutions:
